Step 1: Access a Vendor page
Log in to the KSB Meat program and navigate to the "Manage Vendor" page in Account Payable.
On the page, you will see a list of all the vendors currently in the system.
Click the "Add New Vendor" button to start adding a new vendor.
Step 2: Adding a Vendor
Fill out the form provided on the page to add a new vendor.
Enter the following details:
Vendor No and Vendor Name: Provide an abbreviation or code name for the vendor in the "Vendor No" field, and enter the full name of the vendor in the "Vendor Name" field.
Site Code: Assign a unique code to differentiate between vendor sites. For example, if the vendor has sites in Los Angeles and San Francisco, each site would have a different code.
Vendor Category: Select the appropriate category that represents the type of services the vendor provides. This information will be used for sales reports.
Website: Enter the company's website address, ensuring it includes the full https address. You can verify the address by clicking the "Goto" button.
Show Pack Date for Cat Wt: Check this option if you want to display the pack date for catch weight products.
Note: Add any special internal notes about the vendor, if necessary.
Contact and Title: Enter the name of the contact person and their corresponding title (e.g., Mr., Ms.). h. Copy from Billing: If the billing information is the same as the order information, click this button to copy the billing details automatically.
Once all the necessary information is filled out, click "Save as New" to create the new vendor.
Step 3: Adding Warehouses for a Vendor
After successfully adding a new vendor, you can proceed to add warehouses for that vendor.
On the vendor management page, click the "Warehouse" button.
Here, you can create a list of warehouses associated with the vendor's sites.
Click the "Add New Warehouse" button to add a new warehouse.
Fill out the required details for the warehouse, such as Warehouse Code, Warehouse Name, Address, City, State, ZIP, and Contact Person.
Once all the necessary information is filled out, click "Save" to add the warehouse to the vendor's site.
Step 4: Assigning Warehouse Names
Once you have added warehouses for a vendor, you can proceed to assign names to each warehouse.
On the vendor management page, click the "Warehouse" button.
Enter the desired name for the warehouse in the provided field.
Click the "Add" button to assign the name to the warehouse.
Step 5: Adding Warehouse Details
Fill in the warehouse's address in the provided field. Include all relevant information such as street address, city, state, and postal code.
Determine the status of the warehouse. Choose either "Active" or "Inactive" based on its current operational status.
If the warehouse's address is the same as the billing or order/sales info, you can use the corresponding buttons at the bottom of the screen to fill the information automatically.
Once you have filled in the address and set the status, click the "SAVE" button to save the changes.
Step 6: Adding Multiple Shipping Locations
After filling in the address details for the warehouse in the previous step, click the "Save" button.
You will see that a new shipping location has been added.
If you need to add more shipping locations, click the "Add New Warehouse" button.
Repeat the process of providing the warehouse's name, address, and setting its status (active or inactive).
Once you have added all the desired shipping locations, click the "Close" button to finish.
Step 7: Adding a New Contact Person
After completing the vendor information, click the "Contact" button to manage contact persons for the vendor.
You will be redirected to the contact person management page.
To add a new contact person, click the "Add New" button.
Fill in the contact person's details, including their name, title, email, and phone number.
Click the "Save" button to save the new contact person.
If you want to add more contact persons, repeat steps 3-5.
Once you have added all the necessary contact persons, click the "Close" button to exit the contact person management page.
